SOP Governance & Compliance Platform
Explore one of our real-world implementations.
The Challenge
A multinational organization operating across the United States and European Union faced significant operational risk due to outdated Standard Operating Procedures (SOPs). Much of the documentation existed only in printed form and had not been updated in over five years. Procedures varied widely between locations, resulting in inconsistent operational execution and increased exposure to regulatory non-compliance with governing bodies such as the FDA and EMA.
Critical incidents were frequently mishandled due to outdated guidance and the absence of standardized processes. Leadership began to view the business unit as an operational liability rather than a strategic business partner.
The root causes included:
-
No centralized documentation governance
-
Lack of procedural ownership and accountability
-
No version control or revision history
-
Inconsistent procedures across global locations
-
Limited visibility into compliance and operational execution
Operational teams were effectively working from fragmented and outdated instructions, creating substantial compliance and reputational risk.
The Solution
T3 Systems designed and implemented a Microsoft 365–based digital governance platform to centralize operational documentation, standardize procedures, and introduce structured oversight across the organization. The platform established a single source of truth for operational procedures while introducing automated governance controls to ensure documentation remained current, compliant, and accessible globally.
Governance Framework
A formal governance structure was implemented to assign accountability for each procedure and ensure continuous review.
Key governance capabilities included:
-
Designated SOP ownership through Active Directory role assignments
-
Automated document review schedules
-
Document lifecycle management through SharePoint and Power Automate
-
Automated escalation workflows for overdue procedural reviews
-
Electronic distribution and digital acknowledgment of procedures
This governance model ensured procedures remained current and maintained clear accountability for ongoing updates.
Platform Implementation
The platform leveraged Microsoft 365 technologies to create a centralized operational knowledge system.
Core capabilities included:
-
Cloud-based document libraries
-
Mobile access to procedures and instructions
-
Metadata classification and document tagging
-
Standardized naming conventions
-
Enterprise search capabilities
-
Centralized procedural repository
These features created a globally accessible system where employees could reliably locate current operational guidance.
Compliance Controls
To support regulatory oversight and auditing requirements, the system introduced structured documentation controls:
-
Version history tracking
-
Approval workflows for procedural updates
-
Change audit logs
-
Document publishing controls
These controls created a regulatory-ready audit trail for all operational procedures.
Global Standardization
Standardization initiatives aligned procedures across all global locations.
Key initiatives included:
-
Unified SOP templates
-
Structured document taxonomy
-
Cross-regional procedural alignment
-
Centralized distribution of operational updates
These changes significantly reduced operational inconsistencies across facilities.
Enterprise Operational Platform
Beyond documentation governance, the initiative expanded into a broader enterprise operations platform integrating SharePoint Online, Power Apps, Power Automate, and Power BI.
The deployment included:
-
20+ SharePoint operational data systems supporting incident tracking, investigations, training records, and compliance documentation
-
21 Power Apps enabling frontline workflows including incident reporting, case management, equipment inspections, and operational activity tracking
-
14 Power Automate workflows managing incident escalation, compliance alerts, operational notifications, and documentation workflows
-
Executive Power BI dashboards delivering visibility into incident trends, compliance metrics, and operational risk indicators
Additional capabilities included:
-
Digital investigation management and evidence chain-of-custody tracking
-
Crisis response coordination platforms
-
Emergency playbooks and after-action review systems
-
Governance frameworks for Microsoft 365 collaboration environments
This ecosystem replaced fragmented manual processes with a unified digital operational platform.
